About Better Golf:
At Better Golf, we are redefining the golf experience in Halifax with state-of-the-art facilities featuring world-class Trackman simulators. Our 24/7, self-service model allows golf enthusiasts to book sessions online and enjoy a premium, uninterrupted playing environment. From our humble beginnings two years ago to our rapid expansion into three locations—including our flagship facility, the largest simulator center east of Canada—we’re on a mission to build the ultimate home base for local golf enthusiasts.
We are now looking for a professional and committed Executive Assistant who can support the leadership team while playing a hands-on role in managing our most valuable relationships and experiences—particularly with VIP members and tournament operations.
Position Overview:
The Executive Assistant will provide direct administrative and strategic support to the executive team while actively engaging in day-to-day business operations that shape our member experience and event programming. This is not a behind-the-desk role—this position requires someone who thrives on both executive-level coordination and customer-facing execution.
Key Responsibilities:
• Executive Support
- Manage calendars, schedule appointments, and coordinate meetings for the leadership team
- Prepare internal reports, briefing notes, and presentations for executive use
- Analyze incoming communications, prepare summary briefs, and assist with decision-making preparation
- Coordinate internal and external correspondence and liaise with stakeholders on behalf of executives
- Organize and prepare materials for board and committee meetings
• Stakeholder Liaison & Policy Coordination
- Liaise with vendors, business partners, and local organizations on behalf of the executive team
- Assist in developing and coordinating administrative policies and procedures
- Represent the executive team in meetings with internal departments or external stakeholders as required
• VIP Member Relations
- Serve as a key point of contact for VIP and high-value members, ensuring personalized service and prompt resolution of concerns
- Track membership usage and engagement, and flag opportunities for executive follow-up
- Help design and deliver exclusive member experiences and benefits
• Tournament & Event Planning
- Lead planning and logistics for in-house tournaments, seasonal leagues, and promotional events
- Coordinate registration, scheduling, vendor support, and sponsor engagement
- Ensure events run smoothly and align with Better Golf’s premium member experience
Qualifications:
• Post-secondary education in Business Administration, Hospitality, Communications, or a related field
• 2+ years of experience in executive-level support, customer relationship management, or event coordination
• Excellent organizational, communication, and interpersonal skills
• Ability to manage sensitive information with discretion and professionalism
• Experience with Microsoft Office, CRM systems, and scheduling tools
• Familiarity with Trackman or other golf technologies is an asset
• Background or passion in golf, sports management, or member-based services is preferred
