Global Health Clinics Ltd. is Canada’s leading telehealth clinic. We are looking for a detail-oriented and proactive Executive Assistant who thrives in a fast-paced environment and can seamlessly manage both professional and personal support tasks for senior leadership.
Key Responsibilities:
Calendar & Meeting Management: Coordinate and manage executive’s calendars, schedule internal and external meetings, and ensure optimal time management.
Communication Support: Draft, proofread, and manage professional correspondence, emails, presentations, and reports.
Travel Coordination: Arrange domestic and international travel, including flights, accommodations, ground transportation, and detailed itineraries.
Meeting Preparation: Organize agendas, prepare briefing materials, take minutes, and follow up on action items from meetings.
Administrative Oversight: Handle day-to-day administrative tasks such as filing, expense reporting, invoice processing, and document management.
Property Management: Manage a portfolio of rental properties in BC and Nevada. This included finding and screening new tenants. Collecting rent. Representing the landlord in disputes. Scheduling repairs and maintenance as required
Office Coordination: Collaborate with office management or facilities teams to ensure executive needs are met and operations run smoothly.
Personal Errands & Scheduling: Manage personal appointments, errands, and household vendor coordination (e.g., maintenance, deliveries, etc.).
Event Planning: Coordinate private and social events, including invitations, reservations, parties and logistics.
Family Coordination: Liaise with family members or support teams as needed for personal matters (e.g., school schedules, home management).
Online & In-Person Shopping: Handle purchasing of gifts, household items, or supplies as requested.
Task & Reminder Management: Maintain to-do lists, reminders, and ensure personal priorities are addressed in a timely manner.
Qualifications:
Previous experience supporting senior executives, preferably in a fast-moving, dynamic environment.
Excellent time management, follow-through, and communication skills.
Strong writing, proofreading, and document formatting abilities.
Comfortable working with discretion and maintaining confidentiality.
Proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint); comfort with cloud-based tools is an asset.
Ability to multitask and remain organized under pressure.
Familiarity with property management or administrative support in real estate is a strong asset.
