Required Administrative Assistant (TEER 13110):
• Answering and directing phone calls to relevant staff
• Scheduling meetings and appointments
• Taking notes and minutes of meetings
• Ordering and taking stock of office supplies
• Being a point of contact for a range of staff and external stakeholders
• Preparing documents for meetings and business trips
• Processing and directing mail and incoming packages or deliveries
• Greeting and directing visitors and new staff to the organization
• Writing and issuing emails to teams and departments on behalf of teams or senior staff
• Train office staff in office processes and procedures
• Researching and booking travel arrangements for staff members; and
• Finding ways to improve administrative processes.

A SUCCESSFUL CANDIDATE WILL HAVE THE FOLLOWING:
• Completion of Secondary school
• 1-2 years experience as an administrative assistance or in a similar role or completion of 1 or 2 years college diploma in a relevant field is preferred;
• Proficient in all office organization duties, systems, and procedures.
• Excellent time management skills and ability to multi-task and prioritize work.
• Attention to detail and strong organizational and planning skills is essential; and
• Excellent written and verbal communication skills.
