Job Duties:

• Coordinate and plan office activities, including creating and maintaining important office forms and documents.
• Develop, review, evaluate, and implement new office procedures related to Vacation time, Sick leave, etc.
• Prepare and update a to-do list daily and delegate work to office support staff based on priorities.
• Discuss the work priorities with the subordinate staff in the morning meeting.
• Keep herself/himself up to date with the status of the work carried out by the support staff at the end of each day.
• Ensure deadlines are met and procedures are followed.
• Ensures that the Fleet Insurance is up-to-date and take proactive steps to have it renewed.
• Maintain the minutes of the meeting with clients and follow up with the prospective clients.
• Formulate and adhere to the policies and procedures related to the release of information and records of the company to the government and its agencies.
• Co-ordinate and manage all office services.
• Always ensure adequate stock of office supplies such as stationery.
• Laison and coordinate with the vendors for issues related to parking, office maintenance, etc.
• Assist in the preparation of the operating budget for each contract and client along with budgeting for office operations.
• Oversee and control the monthly budget to prevent overspending.
• Assemble and reconcile data and prepare monthly revenue & expenditure reports.
• Update office records and databases that contain personnel, financial, and office data.
• Prepare and maintain data on employees’ service like hours of service, experience letters, promotion letters, etc.
• Follow up with clients regarding payments for invoices.

Job Requirements:

• Completion of high school
• Post-Secondary education in public administration would be an asset.
• 6+ months of experience in a related field would be preferred.
